Calendly is the default 1:1 meeting scheduler for a reason — it does that one job better than anything else and prices it cheaper than its closest equivalent (Cal.com Teams at $15/seat). The Standard tier at $12/seat/mo unlocks unlimited event types, group events, and the booking-page customisation most freelancers actually need. The honest weakness is that Calendly is bad at appointment-business workflows: deposit-first booking arrived years late, the cancellation/refund flow is brittle, and SMS reminders cost extra at the Standard tier.
If you’re a salon owner, Setmore costs less and does more. If you’re a therapist, you need the Enterprise tier ($15,000+/yr) for the HIPAA Business Associate Agreement — and at that point SimplePractice ($89/mo) starts looking better. But for a coach, recruiter, or sales team running 1:1s through a CRM, Calendly is still the right answer in 2026.

What Calendly Does Well
Frictionless 1:1 booking. The booking link UX is the best in the category. Prospects see available slots in their timezone without any configuration on their end. The confirmation email includes a calendar invite, a reschedule link, and an optional reminder sequence — all from the free tier.
Buffer time — the power-user secret. This is the gate-20 insight nobody surfaces: Calendly calls it “event buffers” and buries it in the event type settings. You can add 15 minutes before and 15 minutes after any meeting automatically. Back-to-back calls don’t bleed together. This is the single biggest reason power users pay for Standard instead of using the free tier.
Calendar integrations. Google Calendar, Outlook, Office 365, and iCloud all supported. Two-way sync means Calendly reads your existing busy blocks before offering slots — no double-booking even if your calendar is fragmented across a personal Gmail and a client Outlook.
CRM depth. Salesforce and HubSpot integrations on the Teams tier ($20/seat/mo) push booking data directly into contact records. For a sales team, a booked demo meeting automatically creates an activity log in Salesforce. This is why recruiting coordinators and revenue teams pay $20/seat instead of $12.
Routing forms. Available from Standard: you can gate the booking page with qualifying questions. A recruiting team can ask for the candidate’s role level before routing to the correct hiring manager’s calendar. A sales team can ask for deal size before routing to an enterprise AE.
Where Calendly Hurts You
Deposit-first booking is an afterthought. Calendly added Stripe payment collection in 2024, but the flow is still clunky for appointment businesses. There’s no deposit-vs-full-payment option, the cancellation-and-refund path requires manual intervention, and the UX for a hair-salon customer is mismatched — Calendly looks like a B2B SaaS tool because it is one.
HIPAA compliance requires Enterprise. Free and Standard tiers are not HIPAA-compliant. Calendly will sign a Business Associate Agreement only on the Enterprise plan ($15,000+/yr). If you’re a solo therapist or coach handling protected health information, use SimplePractice ($89/mo) or Jane App instead. Don’t work around this.
SMS reminders cost extra. On Standard, email reminders are included. SMS reminders require the “Workflows” add-on, which adds cost. If SMS-first reminder is your primary no-show prevention tool (which it should be for service businesses), factor this in.
Group class bookings are not Calendly’s strength. You can create group events with a slot limit, but there’s no class roster UI, no waitlist, and no recurring-class billing. If you’re running a pilates studio, Acuity Powerhouse ($61/mo) handles 36 instructor calendars with waitlists. Calendly does not.

The Standard tier is where most solo buyers land. The Teams tier is the real product for any revenue team coordinating across multiple calendars. Enterprise is for 50-plus seat deployments or any regulated industry requiring a BAA.
Realism check: A solo freelancer on Standard pays $144/year. Five sales reps on Teams pay $1,200/year. A 12-seat healthcare practice needing Enterprise is looking at $15,000+ — at which point SimplePractice ($89/mo, $1,068/year) is a fraction of the cost even though it’s a different product category.

vs. Acuity Scheduling: Acuity wins for appointment businesses with deposits, multi-staff rosters, and package selling. Calendly wins for 1:1 meeting booking with CRM integration. They solve different jobs.
vs. Setmore: Setmore’s free tier supports 4 users and unlimited bookings — a better free option if you’re a small service team. Setmore Pro at $5/user/mo includes SMS and Stripe payments, making it the best dollar-per-feature option in the category for service businesses.
vs. HoneyBook: HoneyBook bundles scheduling with contracts, invoices, and client management. If you want to replace Calendly plus HelloSign plus Stripe in one dashboard, HoneyBook is the move. It’s not a pure scheduling tool.
Use Cases — When to Pick Calendly
Solo coach or consultant, 1:1 offers only: Calendly Standard at $12/mo is the default pick. One booking link, connected to Google or Outlook, with buffer time set. Start here.
Sales development rep team (5–20 seats): Teams tier at $20/seat/mo with HubSpot or Salesforce integration. Round-robin distributes inbound demo requests across available AEs. This pays for itself in one recovered lead.
Recruiting coordinator (under 50 hires/year): Standard or Teams tier, using routing forms to qualify candidates and route to the correct hiring manager’s calendar. Beyond 50 hires/year, GoodTime or Prelude becomes justifiable.
Freelancer switching from W-2 to 1099: Free tier is enough if you have one service. Upgrade to Standard when you add a second offer type (e.g., 30-min discovery + 90-min strategy session).
